Job Description Summary

This position is outward-facing, representing and promoting the department to external constituencies. The person will act as a department liaison in supporting the Chair with other units on campus (e.g. Research Development, Federal Relations & Corporate Research, Sponsored Programs, Alumni Relations, and University Marketing and Communication Services).

Essential Duties & Responsibilities (other duties may be assigned)

1. Facilitate proposal development, preparation, and submission for faculty and staff, including budget preparation, editing technical text, and submission logistics.
2. Work with corporate and SPO to identify industrial and foundation funding.
3. Work with the campus Research Development network to expand opportunities for department engagement in research.
4. Assist faculty and staff in developing and organizing outreach and engagement programs to all constituents, e.g. summer youth, high schools, teachers, general public etc.
5. Develop a Diversity, Equity, Inclusion, and Respect (DIER) strategy for the department.
6. Coordinate with the Innovation and Commercialization office to facilitate faculty engagement.
7. Manage grant administration, reporting, and budget modifications.
8. Work with the Graduate Coordinator to manage GRA/GTA budgets.
9. Interface with Advancement to develop and implement strategies for alumni communications and outreach to current and potential donors. Track Michigan Tech Fund accounts.
10. Develop outreach and communications strategy to increase department visibility, promote programs, and enhance student recruiting (working with the Chemistry Learning Center). Includes managing web pages and other social media.
11. Serve on department administrative teams and department committees to improve department processes according to continuous improvement (e.g. Lean) principles.
12. Develop and implement data and procedure standards for the department.
13. Responsible for responding to questions and resolving routine problems concerning the academic department.
14. Assist the Chair in creative problem-solving with diverse teams of faculty, staff, and students.
15. Flexibility to work non-traditional hours (evenings and weekends) or travel to meet organizational objectives.
16. Other duties as assigned.

Required Education, Certifications, Licensures (minimum requirements)

Bachelor’s degree or comparable work experience.

Required Experience (minimum requirements)

5 years combined experience with communication and outreach AND/OR research administration
AND/OR advancement activities.

Desirable Education and/or Experience

● Master’s degree.
● Experience with recruiting and support of diverse students.
● Experience with proposal preparation and submission to external sponsors.
● Experience managing web content and developing and maintaining a social media presence.

Required Knowledge, Skills, and/or Abilities (minimum requirements)

● Ability to develop and work with spreadsheets and databases.
● Evidence of effective written and verbal communication skills.
● Ability to work independently.
● Ability to multi-task and pivot effort to meet customer needs while maintaining productivity and
meeting deadlines.
● Ability to learn and utilize a variety of web-based systems for grant administration.
● Ability to engage with a variety of diverse people to advance organizational goals.

Desirable Knowledge, Skills, and/or Abilities

● Familiarity with scientific research and education.
● Knowledge of Lean (or similar) principles for improving processes and operational efficiency.
● Proficiency in grant writing.
