Job Description Summary

The Business/Training Support Specialist will provide accurate financial and payroll support for multiple research contracts within the CTT. This position will also provide support for both virtual and on-site workshops and conferences for CTT’s extensive outreach program for transportation, bridge, and environmental agencies in Michigan and/or nationally. Works collaboratively with faculty, staff, students, and clients to complete project goals and to ensure that services are consistent with the mission of the center and the university.

Essential Duties & Responsibilities (other duties may be assigned)

1. Maintain complex time records for multiple research contracts, enter and submit departmental payroll bi-weekly.
2. Identify problems related to research accounts and staff payroll, and take the initiative to resolve the problems.
3. Reconcile account statements for multiple research contracts and take independent action to correct any discrepancies.
4. Work with MTU Sponsored Program’s accounting staff to verify monthly invoicing statements for multiple research contracts and provide supporting documents and annotations as needed.
5. Develop a thorough understanding of data that goes into CTT's customer relationship management system.
6. Assist with reviewing data used in billing and verification of accuracy against customer registration information.
7. Create reports, rosters and mailing lists as needed.
8. Record and deposit training registration fees, monitor the unpaid invoices, and follow-up with customers on late payments beyond the 30 day past due term.
9. Provide virtual and on-site training event support including the management of the CTT webinar schedules and Zoom webinar room, moderating webinars, and handling on-site registration.
10. Interface with customers via telephone and electronically.

Required Education, Certifications, Licensures (minimum requirements)

• Bachelor's degree or equivalent combination of education and experience.

Required Experience (minimum requirements)

• Three years (minimum) professional experience with financial support and accounting functions.
• Professional experience using customer relationship management systems, such as Salesforce.
• Demonstrated analytical, problem solving, and decision-making skills.
• Superior interpersonal and oral/written communications skills.
• Three years (minimum) professional customer service experience.
• Advanced knowledge and experience with Microsoft Office tools including PowerPoint, Word and Excel.

Desirable Education and/or Experience

• Experience using University software including Banner.
• Experience working in higher education.
• Advanced knowledge and experience with a customer relationship management system, such as Salesforce.
• Experience managing student interns.

• Travel to workshops/conferences periodically to provide on-site support.
• Possession of a valid driver’s license combined with a driving record that meets the MTU Vehicle Use policy.

• Demonstrated ability to communicate effectively across cultural boundaries and work harmoniously with diverse groups of students, faculty, and staff.

Additional Information

The Center for Technology & Training (CTT) provides technology transfer, software development and research services to support agencies that manage public infrastructure. With annual funding from the Federal Highway Administration (FHWA), the Michigan Department of Transportation (MDOT) and Michigan Technological University (MTU), the CTT administers Michigan’s Local Technical Assistance Program (LTAP) and manages the development and support for roadway asset management, project estimating, and project management.
