Job Description Summary

The Assistant Vice President of Alumni Engagement works collaboratively with alumni and university leadership to develop, implement, and maintain a comprehensive program designed to provide meaningful opportunities for alumni to enhance loyalty, dedication, and support for Michigan Tech. This position serves as an on-campus spokesperson for over 80,000 living alumni, leads efforts to create and sustain strong value connections for alumni and friends across the state, country, and around the world. The Assistant Vice President of Alumni Engagement develops programs to facilitate lifelong dialogue between the University and its constituents to increase alumni participation and giving. The ideal candidate engages alumni and friends to actively contribute back to the University through philanthropic support, fostering strong relationships with alumni by engaging them in the life of the University and with other alumni. The Assistant Vice President of Alumni Engagement develops and maintains cooperative and collaborative relationships and programs with University units, such as Admissions, Career Services, Parent and Family Programs, Athletics, Student Affairs, and academic colleges and departments.

Essential Duties & Responsibilities (other duties may be assigned)

1. Lead a team of Alumni Engagement professionals, volunteers and student interns, to implement and support a variety of programs to increase alumni engagement on campus and around the country.
2. Responsible for the day-to-day management and operation of the Office of Alumni Engagement.
3. Serve as the university liaison between the Alumni Board and the University. Coordinate the Alumni Board of Directors programs, support board committees and special project teams, including all revenue-generating programs.
4. Works collaboratively with all Alumni Engagement staff to ensure the office is equipped to serve alumni and other stakeholders who visit or contact the office, as well as support programs and services and positively represent the University.
5. Direct strategies for alumni outreach programs (both on- and off-campus) including reunions, university programs, alumni chapter programs, affinity groups and others, as needed.
6. Coordinate alumni activities with university departments.
7. Travel as required to represent Michigan Tech at functions, both on- and off-campus to maintain and foster relationships with alumni, friends, board members and alumni chapter leaders. Travel will be between 25-30 percent with evening and weekend work in support of alumni engagement goals.
8. Assist campus advisory and volunteer boards to fulfill their advisory function by working closely with Deans, Center Directors, and other university leadership to ensure they have access to a wide array of expert alumni and donors in support of our mission.
9. Make policy and programmatic recommendations to the Vice President of Advancement and the Alumni Board of Directors, and implement as necessary.
10. Work collaboratively with colleagues across the university to identify and cultivate a pipeline of volunteers and implement best practices across the volunteer continuum and to connect those groups to our alumni engagement strategy.
11. Manage the finances and budget of the Alumni Engagement office and the Alumni Board of Directors.
12. Work with the Advancement Services communications team to engage alumni and friends through print, web, social media, direct mail and email communication vehicles. Help provide content for the Michigan Tech Magazine, monthly e-newsletter and other publications.
13. Partner with campus marketing efforts in all outreach to the university constituency: Admissions, Career Services, academic departments, fund raising, honor academies, advisory Boards, etc.
14. Coordinate alumni regional chapter plan for the establishment and development of key, secondary, and tertiary chapters to ensure optimal alumni activity.
15. Coordinate with the VP for Advancement Services to develop strategies for the Alumni & Friends website and social networking sites (Facebook, Linkedln, MyMichiganTech community) to best serve the constituency of alumni, students and friends.
16. Research and implement alumni relations best practices. Produce internal and external reports and develop metrics and benchmark performance for related Alumni Board of Director goals. Assist in compiling alumni facts and information.
17. Serve on campus committees as requested.
18. Provide oversight, direction and support for the Presidential Council of Alumnae.
19. Lead the development and staffing of reunion committees in support of our class based giving program and reunion weekend.
20. Engender alignment and enthusiasm with student groups, such as student government, affinity groups, athletics, and Greek life, to integrate and connect alumni and students; creating a culture of alumni engagement during the student experience and visibility to ensure successful transition from student to active alumni.
21. Optimize coordination of activity and cross-collaboration with all fundraisers throughout the advancement division.
22. Serve on the advancement senior leadership team and support the overarching fundraising strategy for the university including maintaining an appropriately sized constituent portfolio.
23. Commit to learning about continuous improvement strategies and applying them to everyday work. Actively engage in University continuous improvement initiatives.
24. Apply safety-related knowledge, skills, and practices to everyday work.

Required Education, Certifications, Licensures (minimum requirements)

• Bachelor's degree.

Required Experience (minimum requirements)

• Five years professional experience in higher education, non-profit, or similar environment with focus on relationship marketing, communications, advertising/marketing or other closely related positions.
• Two years (minimum) supervisory experience over professional and/or represented staff.
• Experience in planning, coordinating and executing events
• Experience working with and managing volunteers.
• Possess a valid driver’s license and meet Michigan Tech University’s vehicle use requirements.
• Capability to travel by automobile, airplane and commute efficiently in many parts of the US and abroad.
• Experience using personal computers and basic software packages.

Desirable Education and/or Experience

• Master's degree.
• Experience working in higher education and alumni relations administration.
• Graduate of Michigan Technological University.
• Experience with managing/supporting a board.
• Fundraising/Annual giving experience.

• Excellent interpersonal, customer service, oral/written communication, and interpersonal skills.
• Excellent group presentation skills. (oral/electronic, good use of language, clear presentation ability, comfort in front of an audience)
• Demonstrated success in program development evaluation and implementation, organizing, and evaluating special events, personnel supervision, and fiscal management.
• Demonstrated ability to lead, organize, and motivate volunteers in achieving the mission and goals of the Alumni Engagement office.
• Demonstrated ability to serve as an advocate for the University and its alumni while displaying a high degree of energy and initiative.
• Demonstrated leadership success in working with diverse constituencies (Age, race, nationality, culture, etc.)
• Demonstrated ability to understand financial data and budgets.
• Demonstrated excellent organizational skills.
• Demonstrated ability to work with confidential information.
• Demonstrated ability to maintain a positive attitude while handling multiple tasks.
• Demonstrated willingness, ability, and enthusiasm to travel to off-campus events and engage in weekend functions.
• Demonstrated willingness and ability to work beyond usual working hours.
• Demonstrated ability to work collegially and effectively as part of a team.
• Demonstrated ability to communicate effectively across cultural boundaries and work harmoniously with diverse groups of students, faculty, and staff.
