Job Description Summary

The Director of Administration provides administrative support to the dean, chairs, faculty, staff, alumni, outside vendors, and students. They oversee the management and communication of the dean's office, and provide personnel and workflow management oversight for the college of engineering.

Essential Duties & Responsibilities (other duties may be assigned)

Management and Communication:
1. Serve as the dean’s executive assistant, including managing dean’s short and long-term schedule, travel arrangements, preparation for meetings, advancement and development projects
2. Manage daily operations of the Dean of Engineering Office
3. Coordinate and communicate with Engineering Council; assist chairs with policies and procedures, and meeting deadlines
4. Determine appropriate action to be taken in absence of dean
5. Analyze information to independently resolve administration problems
6. Analyze and review requests prior to dean approval
7. Manage and assist with executing the College of Engineering communication plan in coordination with COE staff to meet college goals
8. Manage and assist with executing the college strategic marketing plan in coordination with UMC and COE staff to meet college goals
9. Draft communications from Dean/CoE to our constituent groups, including: prospective students, current students, faculty and staff, employers of our graduates, alumni, parents, the Engineering Advisory Board, and friends of Michigan Tech
11. Manage confidential and sensitive information and situations (including being involved in resolving situations, making judgments as to who needs to be communicated with and who needs to be involved in resolving situations)
12. Oversee first year speaker event, graduate program reviews, Academy for Engineering Education Leadership, ABET accreditation visits, awards management (University & Distinguished professors, CoE staff/faculty awards, etc.)
13. Coordinate Engineering Advisory Board meetings

Personnel and workflow management oversight for college
14. Analyze, monitor and communicate policies and procedures
15. Coordinate Tenure and Promotion
16. Coordinate Major reviews
17. Coordinate Interim reviews
18. Coordinate Chair reviews
19. Manage hiring processes in CoE
20. Monitor time approvals for Chairs, Dean and CoE office
21. Hire and directly supervise UAW staff

22. Collect and compile data and statistics for reports, presentations, benchmarking (i.e. for ABET Accreditation, rankings comparisons, evaluating progress on the strategic plan)
23. Develop spreadsheets and databases to track data
24. Provide leadership to foster a culture of safety; promote safety through actions, communication, and training.
25. Encourage continuous improvement practices among employees. Commit to applying improvement strategies to strategic goals and leadership skills.
26. Demonstrated commitment to a culture of safety by having established safety as a key professional value and essential component of daily practice.
27. Other duties as assigned.

Required Education, Certifications, Licensures (minimum requirements)

Bachelor's degree or an equivalent combination of education and experience from which comparable knowledge and abilities have been acquired.

Required Experience (minimum requirements)

•Experience organizing and coordinating multiple tasks, projects, activities
•Experience showing ability to effectively communicate in writing
•Experience showing ability to effectively work with people of diverse backgrounds
•Experience using a computer and advanced features of standard office software, such as the MSOffice, Adobe Suites, and web-based productivity resources (i.e. Google Apps)

Desirable Education and/or Experience

• Familiar with reporting tools such as Banner, Webfocus, and ASPIRE
• Experience working in an academic environment or other complex organization
• Experience creating, planning, and executing events
• Experience with developing presentations
• Experience with marketing

• Understanding of the organizational roles and responsibilities for safety among management, supervisors, and employees
