Summary

Michigan Technological University is seeking a dynamic and prospective student-centered professional to serve as the Admissions Coordinator - Visitor Engagement. This individual will be responsible for carrying out an ambitious vision (set forth by the Associate Director of Campus Visit Experience) to become one of the nation’s best campus visit experiences. This individual will ensure that all aspects of a campus visit are world class in nature and that prospective students and their families feel welcomed, informed, and inspired by Michigan Tech’s distinctive offerings and community.


The Admissions Coordinator will oversee the day to day aspects of Michigan Tech’s visit program from initial scheduling on through visit follow up. This individual will have technical aptitude, organizational skills, flexibility, a desire to build student ambassador teams, and impeccable customer service skills.

Responsibilities and Essential Duties

• Support the Associate Director of Campus Visit Experience in reimagining Michigan Tech’s campus visit program that provides a world class experience to Michigan Tech’s 3,000 annual visitors.
• Assist with building, mentoring, and supervising a student ambassador team (of up to 25 students) that inspires prospective students and their families, and accurately represents Michigan Tech as a world class research institution.
• Be a significant and integral part of Michigan Tech’s growing footprint throughout the region through regional recruitment territory management. This includes:
o Visiting high schools within a designated recruitment territory
o Building relationships with high school teachers and counselors within that designated region
o Actively engage with prospective students throughout the enrollment funnel through phone, text, email and in-person interactions
o Tracking and leveraging a designated territory in Slate
• Evaluate and continuously improve the day to day campus visit experience for prospective students and their families including:
o Maintaining and improving communication around campus visits
o Maintaining and improving day to day campus visit responsibilities and processes within Slate
o Working across campus with key stakeholders to ensure students and families connect with our academic community during their visit
o Provide a flexible but robust campus visit experience to each visitor on a day to day basis
• Using Slate, take the lead on managing the technical aspects of our events including the creation of events in Slate, registration, managing questions and comments, and keeping up to date and accurate show/no-show records. Additionally, create tools and surveys to monitor and facilitate visitor feedback to ensure the highest level of service to guests.
• Throughout the year, serve as primary contact for families needing assistance about visiting campus, including organizing special visits and requests.
• In partnership with the Associate Director of Campus Visit Experience, manage all aspects of daily campus tours and group visits, including giving admissions presentations, working with prospective students and guests during walk-ins.
• Assist and take a lead role in coordination of large-scale visit opportunities including Preview Day, Open House, high school groups, weekend Husky Visit Days, bus trips, and other special programs.
• Develop operational procedures, policies and schedules for the visit program.
• Collaborate with campus departments to schedule departmental meetings for prospective students and to ensure campus tour guides are representing our programs and departments with accuracy and excitement.
• Collaborate with campus departments to schedule virtual events and texting nights.
• Develop and give daily admissions presentations to small and large groups.
• Maintain inventory records and assist with annual order of recruitment materials and publications.
• Serve as the liaison to multiple stakeholders on campus including housing, dining services, transportation services, and the Student Development Complex.
• Assist in reviewing over 10,000 applications for admission.
• Take an active role in staying current with Michigan Tech news, events, facts, figures, degree programs, and related institutional information.
• Commit to learning about continuous improvement strategies and applying them to everyday work. Actively engage in University continuous improvement initiatives.
• Apply safety-related knowledge, skills, and practices to everyday work.
• Other duties as assigned.

Required Education, Certifications, Licensures

● Bachelor’s degree

Required Experience

● 1 year of experience in undergraduate admissions
● 1 year of experience working with campus visits at a four year university
● 1 year of experience working with undergraduate student ambassadors
● Experience working in Slate
● Experience working in Google Suite

Desirable Education and/or Experience

● Master’s degree
● 2 years of experience in hospitality, admissions, or student-facing area of higher education
● 1-2 years of experience supervising student staff
● Experience working as a recreational guide, tour guide, or other closely related activity.

● Demonstrated ability to develop and mentor staff through ongoing training.
● Ability to supervise a team.
● Demonstrated ability to give dynamic and engaging presentations to small and large groups.
● Willingness to travel throughout the region.
● Willingness to work flexible hours, including occasional nights and weekends.
● Possession of a valid driver’s license and ability to comply with Michigan Tech’s vehicle use requirements.
● Ability to use judgment when dealing with confidential information.
● Demonstrated commitment to contribute to a safe work environment.

● Knowledge of Michigan Tech, Houghton, and the surrounding area.
● Demonstrated ability to exceed expectations for customers.
● Demonstrated knowledge of secondary school systems.
● Demonstrated experience with Slate or equivalent CRM tool.
● Demonstrated knowledge of admission application processes.
● Demonstrated ability to build relationships with internal and external stakeholders.
● Demonstrated success in working with persons with a wide variety of personal characteristics and viewpoints.
