Summary

Michigan Technological University seeks an experienced professional to support the leadership and operations of the Health Research Institute. This role serves as the central point for financial management, program coordination, and research administration within the institute.
The successful candidate will manage institute budgets and accounts, ensuring fiscal accuracy and timely reporting to the Director and Vice President for Research. The position provides pre-award support to faculty and researchers by assisting with proposal preparation and budgeting. It also oversees institute events and programs, coordinates the activities of advisory bodies, and supports communication efforts including reports, presentations, and outreach materials.

Responsibilities and Essential Duties

1. Monitoring the institute accounts and providing the Director and VPR with monthly updates on the budget to ensure the department’s fiscal integrity; processing funding transfers, payroll changes, check requests, and reimbursements. Performing all other accounting-related activities involving institute indexes.
2. Assisting PIs in identifying grant opportunities and providing support throughout the pre-award process, including budgeting, reviewing documents, engaging with co-PIs, key personnel, and sub awardees, and other tasks as needed.
3. Planning/managing all institute events and programs, including funding programs, forums, social events, and others as needed.
4. Coordinating the activities of the director, executive committee, and any advisory bodies associated with the institute.
5. Preparing presentations for meetings, events, and workshops.
6. Updating and analyzing membership funding, mentoring, output, and research data.
7. Managing human resource-related tasks, including advertising/recruiting, onboarding, payroll, and other work as needed.
8. Serving as the department’s space and facilities coordinator.
9. Generating reports from university databases and monitoring institute member data for internal reporting.
10. Overseeing the efforts of administrative assistants and/or other part-time assistants, which includes assigning administrative tasks associated with maintaining supplies, updating documents and webpages, and social media management.
11. Collaborate as needed with other institutes, centers, departments, and administration offices.
12. Other duties as assigned.
13. Commit to learning about continuous improvement strategies and applying them to everyday work. Actively engage in university continuous improvement initiatives.
14. Apply safety-related knowledge, skills, and practices to everyday work.
15. Rare travel may be needed.

 

Required Education, Certifications, Licensures

A college degree or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired.

Required Experience

• At least three years of experience in positions related to office management, with past responsibility for budgeting, compliance and/or assessment-related activities, document management, and scheduling.
• Proficiency using spreadsheets and other software tools at a skill level appropriate for the responsibilities.
• Ability to use judgment when dealing with confidential information.
• Experience showing ability to work with attention to details and with accuracy.

Desirable Education and/or Experience

• Master's degree in business administration, public administration, or equivalent
• Experience working with Sponsored Programs procedures/requirements.
• Accounting or finance experience.

• Demonstrated knowledge of university policies and procedures.
• Knowledge of Lean (or similar) principles for improving processes and operational efficiency.

The minimum salary for this position is $70,000 . The final salary will depend on experience and qualifications. This position is contingent upon the continued availability of external funding
