Summary

The Marketing Operations and Project Coordinator plays a critical role in maintaining high-quality and efficient operations within University Marketing and Communications (UMC). Primary responsibilities include overseeing the operations of various aspects of marketing projects as they progress through the project lifecycle, providing collaborative support to the UMC team, and coordinating day-to-day operations of the department.

Responsibilities and Essential Duties

● Work closely with the Assistant Director of Marketing and Executive Director of Marketing to identify tasks to be completed within a marketing project and help keep team members on track for successful project completion.
● Assist with project management and project workflow by tracking the day-to-day progress of marketing projects, efficiently set up projects in Asana and on the network drive, and ensure that project assets are organized for team members.
● Coordinate monthly billing, complete and submit purchase requisitions, manage vendor payments, and process reallocation of expenditures as needed.
● Place orders on behalf of clients and the department.
● Provide collaborative support to the UMC team as requested, such as scheduling meetings, maintaining departmental calendars, and creating and maintaining department files and forms/lists.
● Coordinate and manage the day-to-day logistics of UMC to ensure smooth and efficient operations including responding and managing departmental email, phone calls, and processing Electronic Personnel Action Forms (EPAF) using the Banweb system.
● Manage the client-facing side of the Digital Storefront and assist with account set up, reporting, and order fulfillment.
● Assist with the coordination of bulk mailings, including processing data and providing processed mailing lists to the appropriate UMC team member.
● Assist Mail Services and Print Services teams as needed.
● Meet, greet, and assist visitors to the UMC offices in a kind and courteous manner.
● Other duties as assigned to support the UMC team.

 

Required Education, Certifications, Licensures

● Bachelor’s degree or equivalent from which applicable experience has been obtained

Required Experience

● Experience managing large-scale projects, events, and/or complex schedules
● Experience working with multiple clients, students, designers, writers, and/or photographers on work involving deadlines and tight timelines
● Experience communicating with a wide range of individuals through various channels, including but not limited to email, phone, live chat, and in-person
● Experience using computers and basic software packages including Google Workspace and Excel

Desirable Education and/or Experience

● Experience with project management
● Experience with Asana or other online project management software
● Experience using Banner and WebFocus
● Understanding the use of variable data from a marketing perspective
● Experience with Adobe Creative Cloud software, specifically InDesign
● Experience with print production and general print operations

● Excellent interpersonal skills including exceptional and accurate written and verbal communication
● Demonstrated ability to provide attention to detail
● Proven competence in managing multiple tasks and competing priorities
● Demonstrated knowledge of email and file management
● Demonstrated ability to apply situational awareness to determine logical next steps and routing of information
● Willingness and desire to learn new skills and apply them to daily work to improve processes and/or efficiencies

The work environment is that of a typical office setting.
The noise level in the work environment is usually low to moderate
