Job Description Summary

Provide professional and administrative support to the International Programs and Services Department. This position is the first point of contact for all students, faculty, staff, internal/external visitors, and alumni interacting with the office. Excellent interpersonal and communication skills are essential in providing excellent customer service.

Essential Duties & Responsibilities (other duties may be assigned)

• Act as first point of contact to greet and receive visitors and students.
• Provide excellent customer service to a diverse population of internal and external customers.
• Greet and assist customers in a friendly courteous manner; independently respond to inquiries.
• Answer and direct telephone calls in a courteous and efficient manner.
• Serves as a Designated School Official (DSO)
• Order supplies for office
• Arrange travel accommodations for staff when needed
• Enter confidential student data in Banner and SUNAPSIS
• Process and update forms related to student’s immigration status.
• Process payroll and EPAF’s approve time-sheets for student staff.
• Update address changes for enrolled students
• Run, monitor, and update reports in Banner and SEVIS
• Assist with department programming as needed
• Maintain effective communication
• Receive, open, and route mail.
• Other duties as assigned.
• Apply safety-related knowledge, skills, and practices to everyday work.
• Commit to learning about continuous improvement strategies and applying them to everyday work. Actively engage in University continuous improvement initiatives.

Required Education, Certifications, Licensures (minimum requirements)

  • High school diploma, or an equivalent combination of education and experience for which comparable knowledge and abilities can be required

Required Experience (minimum requirements)

• Three years’ office/clerical experience.
• Three years’ experience using personal computers and basic software packages including word processing and database/spreadsheet applications.
• Three years’ experience providing excellent service in a customer service role.

Desirable Education and/or Experience

  • Experience using Banner and Event Management Software
    Experience with web-based applications.

• Ability to write route reports and correspondences and the ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the university.
• Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, fractions and decimals.
• Ability to understand and carry out instructions furnished in written, oral or diagram form.
• Ability to define problems, collect data, establish facts and draw valid conclusions.

Work Environment and/or Physical Demands

  • The work environment is that of a typical office and/or classroom setting.
    The noise level in the work environment is usually low to moderate.

Required Training and Other Conditions of Employment

Every employee at Michigan Technological University will receive the following 3 required trainings; additional training may be required by the department.
