Job Description Summary

The Center for Technology & Training is seeking a Business/Training Support Specialist to help elevate our trainings (transportation (roads and bridges) and environmental programs) and support our business activities. This position provides a self-motivated candidate with an opportunity to help develop new training materials and bring a fresh outlook to existing training materials. They provide support for events from start to finish – organizing events and working with both internal and external subject matter experts, processing registrations and payments, Zoom management, providing virtual and on-site event support, customer communications, and more. The Business/Training Support Specialist is also a key member of our financial team that reconciles event payments and periodically processes payroll. They will also work collaboratively with faculty, staff, students, and clients to complete project goals and to ensure that services are consistent with the mission of the center and the university.

  • Essential Duties & Responsibilities (other duties may be assigned)
  • Process event registrations and understand data that goes into CTT's customer relationship management (CRM) system.
  • Use the CRM to create reports, rosters and mailing lists as needed.
  • Record and deposit training registration fees, monitor unpaid invoices, and follow-up with customers on late payments beyond the 30 day past due term.
  • Assist with reviewing data used in billing and verifying accuracy against customer registration information.
  • Assist with internal and external mail distribution (training materials, newsletters, etc.).
  • Provide support for virtual training events over Zoom (setting up Zoom meetings/webinars, distributing participant links, assisting with customer support, and providing moderation, if needed).
  • Work with planning committee or independently to organize agenda and speakers for a CTT conference (around 300 participants in-person/virtual).
  • Help set-up and schedule trainings (virtual and in-person) with external subject matter experts on a variety of topics (motor grader operation, welding, productivity software, workforce retention, etc.), including seeking out qualified trainers and facilitating contracts.
  • Develop training materials (lesson plans, presentations, handouts, etc.) for new CTT trainings and assist as needed with redesigning existing training materials.
  • Interface with customers via telephone, electronically, and in-person.
  • Serve as backup for entry and submittal of departmental bi-weekly payroll (approximately 35 employees) 

Required Education, Certifications, Licensures (minimum requirements)

  •  Bachelor's degree or four years of equivalent education and experience.

Required Experience (minimum requirements)

  • Professional experience using customer relationship management (CRM) or similar systems, such as Salesforce.
  • Experience working in education and developing training/course content.
  • Experience setting up, developing, and delivering virtual training/course content using a webinar application such as Zoom.

Desirable Education and/or Experience

  • Experience in professional customer service.
  • Experience managing student interns.
  • Experience using University software including Banner.

  • Travel to workshops/conferences periodically to provide on-site support.
  • Possess a valid driver’s license and meet Michigan Tech University’s vehicle use requirements.
  • Demonstrated ability to work as a team member and contribute to the overall function of the department.

Additional Information

  • The Center for Technology & Training (CTT) provides technology transfer, software development and research services to support agencies that manage public infrastructure. With annual funding from the Federal Highway Administration (FHWA), the Michigan Department of Transportation (MDOT) and Michigan Technological University (MTU), the CTT administers Michigan’s Local Technical Assistance Program (LTAP) and manages the development and support for roadway asset management, project estimating, and project management.
