Job Description Summary

The Operations Coordinator will provide a full array of operations management support services to the President and Executive Vice President offices, including providing event planning and support, many of which are signature or high-profile events taking place on campus, as well as off-campus. In addition, they will help oversee and manage daily office operations.

Essential Duties & Responsibilities (other duties may be assigned)

1. Help organize, plan, support, and/or assist with special events, initiatives, and projects from conception to execution to evaluation.
2. Prepare, review, edit, and/or send out accurate, high-quality, and professional departmental and event-related correspondence and materials.
3. Manage nomination process and recipient lists for University level honors and awards.
4. Assist in processes which involve review and responses by the provost and president (e.g.,
sabbatical leave, Senate proposals, and periodic reviews).
5. Receive and direct calls and visitors flowing through the office.
6. Receive and sort incoming mail and deliveries, and manage outgoing mail.
7. Manage office supplies inventory and place orders as necessary.
8. Provide administrative support to other university offices as needs require.
9. Support hiring initiatives for faculty, staff, and administrators.
10. Assist in travel accommodations as needed.
11. Apply continuous improvement strategies to everyday work.
12. Other duties as assigned.

Required Education, Certifications, Licensures (minimum requirements)

  • Bachelor’s degree or equivalent combination of education and experience.

Required Experience (minimum requirements)

● Event management experience.
● Office management experience.

Desirable Education and/or Experience

● Bachelor’s degree or higher.
● Experience tracking and maintaining budgets.

Required Knowledge, Skills, and/or Abilities (minimum requirements)

● Excellent written/oral communication and interpersonal skills.
● Ability to handle and secure confidential information and exhibit good judgment.
● Proven competence in managing multiple tasks and competing priorities.
● Ability to be highly self-motivated and proactive in managing deadlines, attending to details, identifying problems and opportunities, recommending reasoned solutions, and anticipating the needs of the executive and organization.
● Demonstrated pleasant and business-like demeanor and ability to handle stressful environments during peak times.
● Demonstrated experience using a variety of software packages, including but not limited to Microsoft Office applications and Google Suite.
● Demonstrated ability to learn and apply new knowledge.
● Demonstrated ability to communicate effectively across cultural boundaries and work harmoniously with diverse groups of students, faculty, and staff.
● Demonstrated commitment to contribute to a safe work environment.

Desirable Knowledge, Skills, and/or Abilities

● Experience with graphic design software for flyers, newsletters, posters, etc.
● Experience with CMS.
● Ability to think creatively and work successfully as both a member of a team and independently.

● Demonstrated success in, or potential future contributions to, working with persons from diverse backgrounds, creating a sense of belonging, and fostering a fair, objective, welcoming place to work for persons with a wide variety of personal characteristics and viewpoints.

The noise level in the work environment is usually low to moderate.

Required Training and Other Conditions of Employment

Every employee at Michigan Technological University will receive the following 4 required trainings; additional training may be required by the department.
