Job Description Summary

As a part of the Student Leadership & Involvement team, the Coordinator assists the office in providing strong educational, social, and leadership development oriented, co-curricular experiences that enhance student learning and campus life at Michigan Technological University. Reporting to the Director of Student Leadership and Involvement, this position is the primary individual responsible for providing development, training, and support for Michigan Tech’s Registered Student Organizations (RSO). They also serve as the primary advisor for the Memorial Union Board, our campus programming board. The Coordinator implements annual organization registration, plans student involvement fairs, oversees RSO funding, directs the new organization registration process, and manages resources that benefit all student organizations.

Essential Duties & Responsibilities (other duties may be assigned)

• Serve as the primary Student Leadership & Involvement contact and resource for Registered Student Organizations (RSO’s).
• Coordinate the annual registration process for RSO’s.
• Develop and implement training for organization executive boards and advisors throughout the year while ensuring compliance with Clery Act and Title IX.
• Process all new RSO requests according to Board of Trustees and Student Leadership and Involvement policies.
• Maintain RSO records and archives through Involvement Link, the Student Leadership and Involvement drive, and hard copy files.
• Regularly review RSO constitutions and by-laws and advise organizations of needed updates and revisions.
• Consult with and provide guidance to RSOs on topics such as organizational management, recruitment, fundraising, financial management, event planning, leadership development, and university policy.
• Conduct semesterly grade reports and hold officers accountable for meeting minimum requirements.
• Oversee the RSO Travel Policy and collaborate with Transportation Services to facilitate the motor vehicle rental process.
• Process RSO requests for student information and mass emails.
• Assist RSO’s with making major purchases and ensure proper procedure is followed for acquiring and tracking property.
• Advise the Undergraduate Student Government’s Ways and Means Committee in administering the Student Activity Fee for RSOs.
• Oversee all Student Activity Fee allocations and transfers.
• Coordinate, promote, implement, and evaluate semesterly student organization Involvement Fairs.
• Develop, propose, and manage approved budgets based on data and event requirements.
• Leverage relevant marketing and outreach strategies to share information with RSOs and promote engagement on campus.
• Advise the student-run programming board, the Memorial Union Board, in the implementation of regularly scheduled campus wide programming.
• Manage the Memorial Union Board budget in collaboration with the organization treasurer ensuring timely and accurate contract processing.
• Serve on University Committees and represent the Department at University functions.
• Identify and engage in continuous improvement initiatives to create lean processes.
• Apply safety-related knowledge, skills, and practices to everyday work.
• Actively create an inclusive, welcoming, and professional work environment for staff, students, and visitors.
• Perform other mission-critical and position-specific duties as requested based on operational needs.

Required Education, Certifications, Licensures (minimum requirements)

● Bachelor’s degree in a related field, or the equivalent combination of education, training, and experience from which comparable skills can be acquired.

Required Experience (minimum requirements)

● One or more year’s experience with university student organizations.
● Experience with accounting and budget management and experience interpreting financial reports.
● Experience in using personal computers, word processing, database, and using advanced features of word processing applications including utilizing columns or tables, sorting, and mail merge.
● Experience using Google suite system: email, calendars, shared drives, list serves, creating forms, linking to spreadsheets.

Desirable Education and/or Experience

● Master’s degree in student personnel or a related field, or the equivalent combination of education, training and experience from which comparable skills can be acquired.
● Experience advising student organizations.
● Experience working with university student government organizations.
● Experience using online student organization web platforms.
● Experience coordinating both small and large-scale programs and events.
● Experience working with entertainment/performer contracts and riders.

• Ability to work independently under limited supervision and in teams.
• Ability to make reasoned administrative and procedural decisions and judgments on sensitive and confidential issues.
• Possession of a valid driver's license and ability to comply with Michigan Tech vehicle-use requirements.

Desirable Knowledge, Skills, and/or Abilities

• Knowledge of student development theories, learning theories, and other theories related to the profession.
• Knowledge of assessment methodologies including elements of design, data collection, analysis, and reporting.
• Ability to design basic brochures, event flyers, and/or newsletters
• Knowledge of social media platforms and general ability to manage accounts, postings, and messages.
• Demonstrated success in working with persons from diverse backgrounds, creating a sense of belonging, and fostering a fair, objective, welcoming place to work for persons with a wide variety of personal characteristics and viewpoints.

Work Environment and/or Physical Demands

WORK ENVIRONMENT:
● Moving small- to medium-sized boxes of materials in and out office during special events
● Driving personal or university vehicles or golf-cart during special events to transport materials and supplies to events
● The noise level in the work environment is usually low to moderate
● Fast-paced, results-oriented, and accountability-driven
