Job Description Summary

The Sponsored Programs Coordinator counsels, advises, and assists faculty and staff with subrecipient proposal, award, and post-award processes for externally funded projects.

Essential Duties & Responsibilities (other duties may be assigned)

1. Coordinate the review, processing, and submission of subrecipient paperwork.
2. Counsel, advise and assist faculty and staff with subrecipient proposal paperwork, which includes reviewing documents for conformance with sponsor and University guidelines.
3. Review and interpret applicable federal, state, agency, and University policies and guidelines for proposal submissions and subaward agreement negotiations.
4. Provide pro-active and problem-solving guidance and support to faculty and staff related to proposals and subaward agreements.
5. Process subaward transactions including budget modifications, time extensions and closeouts.
6. Review incoming subaward invoices and monitor spending in accordance with the award terms and conditions.
7. Manage routine subaward processes including subrecipient single audit review, subrecipient debarment checks, federal reporting related to subawards, and the subaward closeout process.
8. Draft, compose and edit legal correspondence related to proposals and subaward agreements.
9. Contribute and/or lead in the identification, establishment, review and improvement of pre and post-award policies and procedures for sponsored programs.
10. Participate in the creation and presentation of workshops, seminars and on-demand tutorials in order to educate others in sponsored program administration.
11. Participate in special projects and other assigned duties to further the department’s goals and objectives.
12. Commit to learning about continuous improvement strategies and applying them to everyday work. Actively engage in University continuous improvement initiatives.
13. Integrate safety practices into daily activities.
14. Supervisory Responsibilities: Functional supervision may be exercised over staff and/or students.

Required Education, Certifications, Licensures (minimum requirements)

• Bachelor’s degree

Required Experience (minimum requirements)

• Experience using personal computers and basic software packages including advanced features of word processing, spreadsheet/database, and Adobe Acrobat software.

Desirable Education and/or Experience

• Relative experience working in a higher education environment.
• Experience developing and preparing bid/proposal budgets.
• Experience negotiating agreements.

Desirable Knowledge, Skills, and/or Abilities

• Demonstrated understanding of contract language and/or knowledge of business law.
• Familiarity with electronic research administration systems.
• Familiarity with federal guidelines related to grant and contract administration.
• Experience with LEAN, Six Sigma, or other quality improvement processes.
