Job Description Summary

The Division of Student Affairs at Michigan Tech is devoted to student success from enrollment to commencement. We are dynamic, agile, and culturally-responsive.

This position is a champion for creating a positive image for the Residence Education/Housing Services department, ensuring service excellence in our customer service practices and messaging our inclusive and community oriented educational priority to all stakeholders. Responsibilities include ensuring the marketing, communications, and business transactions of the department are providing a superior customer service experience for our stakeholders. This position will develop and coordinate a comprehensive marketing plan that will promote the recruitment and retention of new and returning resident students. The individual will partner with the REHS staff in leading an innovative and aggressive effort to recruit, grow, and organize a robust summer conferencing program and explore creative opportunities to increase summer occupancy in the residence halls. This position will also have a collateral assignment that reports to the Vice President for Student Affairs focused on developing creative initiatives that promote the Division. Other position- and mission-specific duties as assigned.

Essential Duties & Responsibilities (other duties may be assigned)

Residence Education/Housing Services responsibilities (60%)
• Create and execute a comprehensive marketing plan for all department initiatives that promotes the inclusive educational priority of the curriculum and aids in the retention and recruitment of students.
• Aggressively recruit, coordinate, and lead the continued growth of the department’s summer conferences program
• Serve as a partner on the REHS senior leadership team as chief marketing officer for the department
• Design and lead an aggressive multi-platform social media campaign that promotes all Housing and Residence Education initiatives to multiple audiences
• Lead, design, and maintain creative influence over all printed, digital and promotional communication campaigns
• Utilize multiple software packages (ie: Adirondack THD, Roompact) in promoting departmental initiatives
• Design publications, presentations, and websites to ensure consistent branding and continuous promotion of departmental goals
• Proactively seek out opportunities to recruit additional residents in both the residence halls and Daniell Heights apartments
• Serve as project leader and/or committee member for high profile REHS marketing and recruitment events
• Serve as the liaison between Residence Education/Housing Services and University Marketing and Communications office and collaborate on producing external communications in line with departmental and Michigan Tech branding
• Coordinate REHS presentations and recruitment activities with the Admissions office as needed
• Train and supervise a main office staff ensuring service excellence for all day-to-day main office transactions
• Oversee the appearance and operations of REHS office suite ensuring superior levels of customer service and efficient operation
• Supervise an Administrative Aide and student staff in REHS office suite management
• Serve as the liaison between camps and conferences customers and University staff and coordinate logistics for the camps/conferences successful stay on campus
• Manage communications and logistics with multiple campus stakeholders on the use of campus facilities for camps and conferences
• Assess and track impact of marketing initiatives
• Coordinate and oversee camps and conferences billing

Collateral assignment with the Vice President of Student Affairs (40%)

• Collaborate with the Vice President for Student Affairs to shape public relations and develop creative initiatives that promote and protect the brand of the Division
• Create graphic designs for multiple purposes and audiences (e.g., flyers, brochures, information pieces, invitations, logos, etc.)
• Create, shape, and elevate social media and other messages for print, electronic, and web purposes for the Vice President of Student Affairs
• Create and manage the Division’s communications/messaging plan, including newsletters
• Coordinate with select offices (e.g., admissions) on key communications
• Serve as a webmaster for the Division
• Coordinate with University Marketing and Communications as needed

Required Education, Certifications, Licensures (minimum requirements)

• Bachelor’s degree from an accredited institution, preferably in Marketing, Graphic Design, Communication, Business, or a related field

Required Experience (minimum requirements)

• 3 years’ experience in Marketing, Public Relations, Graphic Design or a related field
• Demonstrated experience in project management

Desirable Education and/or Experience

• Master’s degree is preferred in a related field
• 4 or more years in a higher education setting
• Having experience with graphic design is highly desired
• Having experience in the residence life field in a university setting is preferred

• Strong ability to communicate and commit to an inclusive marketing strategy that engages a wide spectrum of diverse audiences
• Demonstrated skills in print and digital content creation/management (webpage design/social media/email)
• Strong time management, organizational, and project management skills
• Self-starting energy with an ability to work collaboratively with others in a fast paced team environment
• Ability to manage several simultaneous projects and adapt to changing needs
• Ability to work independently and take initiative to problem solve and implement creative solutions
• Advanced skills utilizing database and spreadsheet software to create reports, charts, graphs, and presentations
• Advanced skills utilizing office productivity suite software including word processing, spreadsheet, presentation and mail solutions
• Strong interpersonal skills with a commitment to collaborate with multiple stakeholders to create solutions in a team centered environment
• Excellent customer service and written/oral communication skills
• Demonstrated ability to use judgment when dealing with confidential information
• Demonstrated ability to communicate effectively across cultural boundaries and work harmoniously with diverse groups of students, faculty, and staff.
• Demonstrated commitment to contribute to a safe work environment.

Desirable Knowledge, Skills, and/or Abilities

• Graphic design skills and knowledge
• Demonstrated understanding of the day to day operations within a University setting
• Previous experience utilizing housing management software for promotion, marketing, and communication to resident students on a college campus
• Experience with continuous improvement strategies to help solve problems and improve processes
• Previous experience using Google productivity office suite software is preferred

Work Environment and/or Physical Demands

WORK ENVIRONMENT: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

The work environment is that of a typical office and/or classroom setting. The office is located within a residence hall building on the first floor within a common area (not on a residential floor). The noise level in the work environment is usually low to moderate.

Typical workday is 8am-5pm Monday-Friday, however staff may be asked on nights and weekends to attend events and work flexible hours as needed to meet the needs of a residential student environment. Work volume tends to increase during peak housing times including the opening and closing of Fall and Spring semesters. During the month of August, staff should anticipate a high demand workload in preparation for the opening of the academic year. As a result, time off requests for the month of August are unable to be approved except during extenuating circumstances.

Every employee at Michigan Technological University will receive the following 4 required trainings; additional training may be required by the department.

Required University Training:

Required Departmental Training: 

  • Must be trained to utilize housing management software (Adirondack) and Roompact to utilize their student communication solutions
