Job Description Summary

Manage administrative functions for the Department of Geological & Mining Engineering & Sciences (GMES); oversee daily operations of the Department office and supervise support staff and students. Serve as the Business Manager for the Department, develop and manage a General Fund budget. Advise faculty on research budget and accounting policies and procedures. Collect and analyze data on all departmental functions for presentation in both internal and external reports. Coordinate the faculty search, reappointment, promotion, and tenure processes. Manage staff hiring processes and employee payroll forms. Support administration and faculty of the GMES Department in all areas of written and electronic communication. Maintain accurate records and track of all departmental processes. Support the education and research missions of the department.

Essential Duties & Responsibilities (other duties may be assigned)

Business and Office Functions:
Manage the Department budget including developing and monitoring budgets in the general, designated and research accounts and project balances
Assist faculty with research awards and project account administration for external funding
Coordinate faculty searches including advertising and scheduling interviews; complete appointment recommendation paperwork and affirmative action documentation
Coordinate faculty reappointment, promotion and tenure processes
Approve Department expenditures including supplies, services and travel
Oversee the payroll, graduate student support and purchasing operations

Research Support:
Develop and review research budgets and integrate into proposals
Advise faculty on sponsored programs, accounting and compliance policies and procedures

Educational Support:
Oversee and coordinate collection and storage of curricular assessments. Work with faculty in implementing assessment plans and executing assessment activities
Oversee course scheduling and textbook requests
Coordinate curricular changes in the binder process

Department Public Relations:
Collaborate with University Marketing and Communications on publications and design of marketing materials
Assist Department Chair and other faculty in fostering relationships with external stakeholders (alumni, industry, others)
Organize on campus department functions for students and alumni.

Administrative supervision is exercised over support staff and student assistants.

Required Education, Certifications, Licensures (minimum requirements)

Bachelor’s degree in business, communications, marketing or related field, and 2 years of relevant work experience, or an equivalent combination of education and experience

Required Experience (minimum requirements)

2 years relevant administrative office experience

Required Knowledge, Skills, and/or Abilities (minimum requirements)

Excellent written and verbal communication skills
Proven dedication to contribute to a safe work environment
Demonstrable ability to communicate effectively across cultural boundaries and work multi-functionally with diverse groups of students, faculty, and staff.
